Payment Credits
Payment Credits are a powerful feature that lets you control key elements of your Professional Services pricing.
Managing Payment Credits
Go to Settings > Financial > Payment Credits to manage the payment credits available in your account.
On this screen: The Settings page for Payment Credits shows a list of the credits configured for your account, with columns for Source, Description and Criteria, and a search box that matches on source. Select one or more rows to delete them. A + Add A Payment Credit button sits in the page header.
The list shows all payment credits configured for your account. Click any row to edit it, or use + Add A Payment Credit to create a new one. Within a project the equivalent button is labelled Add Credit.
Creating or Editing a Payment Credit
Overall Settings
Inside a payment credit, you can configure the following:
On this screen: The Payment Credit form has three fields: Payment Source, Description and Criteria.
- Payment Source: The vendor or reason for the credit
- Description: A description of the credit or program
- Criteria: The criteria a customer must meet to receive this credit
Payment schedules are a Payment Term feature
Payment credits do not carry a schedule. Billing milestones, percentage and milestone rows, the automatic Balance Due row and how a one-time product lands in a schedule all belong to the Payment Term on the project.
Using Payment Credits in a Project
In a project, open Pricing > Payment Credits. The Overall Pricing screen shows the payment credit total.
On this screen: A card titled Payment Credits lists the credits on the project. The columns are Source/Reason, Description, Amount and Criteria. Click a Source/Reason to edit that credit. A Total: line sits right-aligned under the table and appears only once the project has at least one credit. It adds up the credits on the current page of the table, so with more credits than fit on one page it is not the project’s full credit amount. With no credits, the table shows a single row reading “Add payment credits to get started”. The Add Credit button in the card header appears only while the project is in building status and you have create or manage permission. If you have no access to this page at all, it shows a message telling you to contact your administrator. Users with manage permission also get row checkboxes while the project is in building status. Selecting rows shows an N Selected pill with a Delete action, and a confirmation window lists the credits before you confirm.
Each credit on the project takes a payment credit and an amount.
On this screen: Add Payment Credit (and Edit Payment Credit when you open an existing credit) shows three fields. Payment Credit * is a drop-down of the payment credits you configured in Settings, listed as source / description. Amount * is a number field. Criteria is read-only and fills in from the payment credit you choose. Saving an edit requires manage permission and a project in building status.
Using Payment Credits in Documents
Payment Credits are a powerful feature for document generation. See the Common Merge Field templates for examples, and the Merge Data view guide to build your own payment credit options.
