Connected Apps

Connected Apps is where you manage all integrations between ScopeStack and your third-party tools. You can connect CRM systems, PSA tools, and e-signature providers from a single page.

Accessing Connected Apps

Navigate to Settings > Account > Connected Apps. The page has two sections:

  • Connected Apps (top): A table listing your active integrations with columns for Service, Name, Status, and Last Sync.
  • Available Apps (bottom): Tiles showing integrations you can add. Use the category filter chips or search bar to find a specific integration.

Each category may require a specific account entitlement. Contact ScopeStack support if an integration type is not available on your account.

Adding an Integration

  1. Click a tile in the Available Apps section to view the integration’s description and supported features.
  2. Click Add Integration to begin setup.
  3. Enter your authentication credentials (API keys, host URL, or other required fields depending on the integration).
  4. Select which feature categories to enable (CRM, PSA, Product, Esignature). Turn on only the ones you want ScopeStack to use. See Additional Features tab below for the behavior each setting controls.
  5. Click Submit. Salesforce and Microsoft Dynamics 365 open a popup window for you to authorize the connection with the provider (OAuth). HubSpot instead connects with a Private App access token you enter in the form, and activates automatically once the token validates (no popup). See the individual configuration guides for the exact steps.

Once connected, the integration appears in your Connected Apps table. For detailed setup instructions for each integration, see the individual configuration guides in this section.

Managing a Connection

Click an integration in the Connected Apps table to open its management page. Three tabs are available:

Connection tab: Shows the current credential fields and connection status. When the connection is active, fields are read-only. The connection status table shows the current state, last sync time, and any additional information about errors.

Additional Features tab: Toggle individual feature categories on or off. Some integrations offer sub-options within a category, such as field mappings, revenue sync settings, or opportunity stage filters. For file storage connections, this tab includes a directory picker where you choose which folder to sync.

What each toggle controls. The toggles are not cosmetic. Each one decides whether ScopeStack uses that part of the connection:

  • PSA off: if no connection has PSA turned on, projects do not show the Push To PSA button, even when the project is approved or won. If someone opens the push form directly, ScopeStack sends them back to the project with the message “PSA integration is not enabled for this account. Enable it on the connection under Settings > Connected Apps.” On the classic PSA Integration page, a project that was already pushed keeps its tab, shows the PSA project ID from the earlier push, and displays a notice that the project cannot be pushed or resubmitted until PSA is turned back on. The Push to PSA V2 beta page does not show that notice, so turn PSA back on for the connection before you resubmit.
  • CRM off: the scheduled opportunity syncs skip the connection. New and updated opportunities stop arriving in ScopeStack, and nothing reports an error. The connection still reads Connected, and other activity in the Integration Activity tab continues as usual. If opportunities from a CRM stop showing up, check this toggle before assuming an outage.
  • PSA off, for client sync: the scheduled client sync from ConnectWise, Autotask, or HaloPSA runs only for connections with the PSA toggle on.

Turning a toggle back on resumes the behavior. It does not remove anything that already synced.

Having a connection is not the same as having its features on. ScopeStack turns features on automatically only when the connection supports a single feature category available on your account. ConnectWise and Autotask support multiple categories (CRM and PSA, plus Products for ConnectWise), so after connecting either one, open the Additional Features tab and switch on each feature you plan to use. HaloPSA supports PSA only.

Integration Activity tab: A log of all sync activity for this connection, showing timestamps and activity descriptions. You need Manage on the Connected Apps permission to see it, which the Admin role holds by default. If you hold only View, the tab does not appear.

Connection Status

StatusMeaning
ConnectedThe connection is active. Syncing depends on which feature categories are enabled.
Connection ErrorAuthentication or sync has failed. Check the Integration Activity tab for details. ScopeStack sends an email notification when a connection enters this state.
DisabledThe integration has been manually paused. No syncing occurs.

From the connection management page, you can:

  • Disable an active connection to pause syncing without removing it.
  • Enable a disabled connection to resume syncing.
  • Reconnect a connection in error state by updating credentials and re-authenticating.

A connection showing Connection Error is not retried automatically. Once a connection enters this state, ScopeStack stops attempting to sync it until you Reconnect it; it does not keep retrying in the background. Some temporary problems (for example, a brief rate limit from the connected service) clear on their own without changing the status, but a persistent authentication or connection failure sets Connection Error and stays there until you reconnect. If data from an integration has quietly stopped updating, check its status here rather than assuming a temporary issue will resolve on its own.

Disabling a connection pauses syncing but does not remove data that was already synced. Opportunities and their links to projects that synced before you disabled the connection remain in ScopeStack.

Permissions

The Connected Apps permission under the Account settings group controls access:

  • View: Can see the Connected Apps page and existing connections.
  • Manage: Can add, edit, disable, and enable connections.

Individual integration categories (CRM, PSA, Products, E-Signature) may require additional account entitlements to be available.
